Koda may receive information you intentionally submit through enquiry forms or an optional expert-review request.
Automated scanner
When you generate a scan, the submitted text or file is transmitted to Google Gemini through Koda’s server-side scanner connection to produce the requested AI-assisted output. Koda does not intentionally add the automated submission to its own enquiry records at this stage. Generating a scan does not authorise a Koda expert to read the submitted material.
The scanner currently uses unpaid Gemini API quota. Under Google’s terms for unpaid services, submitted content and generated responses may be used to improve Google products and may be processed by human reviewers. Do not submit confidential or sensitive information, identity documents, passwords, bank credentials or information you are not authorised to share.
Optional expert review
After receiving an automated scan, you may separately ask for a Koda expert to review the material. This requires your express authorisation and contact details. If you submit that request, the context, uploaded file, automated summary and contact information are recorded through the website’s hosting form service so Koda can review the issue and contact you.
Requesting expert review is optional. If you do not submit the expert-review form, the automated scan is not presented to a Koda expert through this workflow.
Enquiries
Enquiry information may be used to respond, assess engagement fit and maintain appropriate records.
Retention
Expert-review requests and enquiries may be retained for follow-up, record keeping and security purposes for as long as reasonably necessary. Koda does not use submitted documents to train its own AI model.
